We are looking for a detail-oriented and organized team member to support the People & Culture Partnerin our Munich Office as HR Operations Coordinator Central & East Europe (m/f/d)
You will work closely with our People & Culture Partner in the region, having the opportunity to learn the various aspects of the HR function in Central & Eastern Europe, including Germany, Austria, Switzerland, Czech Republic, Hungary, Ukraine & Kazakhstan. This position ensures smooth day-to-day operations for new hires, employee support, and system efficiency.
Responsibilities and tasks:
HR & Payroll administration
- To prepare, maintain and update files and employee records, legal documents and other employment related documents.
- To develop and maintain human resources databases, computer software systems (presently SuccessFactors) and electronic filing systems.
- To conduct regular personnel files audits.
- To ensure the time and attendance system (UKG) is ready for payroll processing according to the specific country deadlines
- To run UKG reports related to time tracking, payroll, and employee data and to ensure the accuracy of HR data within UKG, updating records as necessary
- To support the HRBP in the monthly payroll process of the different countries in the region
- To ensure the administration of all employee benefits schemes is carried out according to the monthly deadlines.
Recruitment
- To support our People & Culture Partner in the recruitment of all store roles across the regions. This includes drafting job adverts, reviewing applications/CVs, telephone screening, scheduling & conducting interviews to ensure applicants are suitable for our roles.
- To update job descriptions and person specifications as and when needed.
- To prepare Job Offers and drafting employment contracts
People Management System (SuccessFactors)
- To regularly update and maintain the PMS, ensuring all information is accurate and up to date.
- To run regular audits to check for work permit, visa and / or student visa expirations dates and passports are up to date and valid.
- To ensuring employees contact details are accurate and up to date in all databases.
Productivity & Welfare
- To support the HRBP in ensuring all team member probationary periods are logged and action is taken where necessary.
- To monitor attendance across the different regions and flag any areas of concern
Employment law and Company Policies:
- To be fully conversant with all the company’s policies in respect of human resources and staff welfare.
- To keep yourself informed of all local social laws and trends.
Other responsibilities:
To participate in any specific projects for the Department, i.e Health & Safety, Benefits.
Requirements
- Experience/university background in HR, recruitment or business.
- Proficiency in Microsoft Office package in requires, particularly Excel.
- Excellent interpersonal skills, attention to detail and solution-seeking skills.
- Good communication skills, a highly proficient level of written and oral German and English.
- Interest in the field of Human Resources, Retail and Luxury Fashion.
- Enthusiastic and Proactive. You are rigorous, organised, and responsive.
- Ability to work independently & handle multiple tasks simultaneously against tight deadlines and as part of a team.
- Ability to maintain strict confidentiality; diplomatic & discreet
